Privacy notice

This notice explains what personal data Mailingcost.com ("we", "us") collects when you use this website, why we collect it, and the rights you have over it. We are the data controller for this website and we comply with the UK GDPR and the Data Protection Act 2018.
1. How to contact us
For any privacy question, request or complaint, email privacy@mailingcost.com. We aim to reply within 2 working days.
2. What data we collect
Free postage audit form
- Your name, company, email address and phone number (name and email are required; the rest is optional)
- Details of the mailing you tell us about: what it was, size, pages, paper, envelope, quantity, how often you send it, the postal service used and what it cost
- Anything else you choose to tell us in the notes box
- How you reached the page (the referring website and any campaign tags in the link), so we know which of our own promotions are working
Free weight & size checker
The checker works without an account. If you carry a description into the full calculator you will be asked to log in or create an account first — see below.
Accounts
- Your email address and password (your password is stored only as an irreversible encrypted code — we never see it)
- Your name, if you choose to give it
- The details of jobs you save: pack contents, paper stocks, quantities and the results of your calculations
- Artwork files you upload, stored privately and used only to check them against the postal service your job points to
- Quotes and margin notes you create while using the tools
Technical data
Like nearly every website, our hosting keeps standard server logs (pages requested, times, and the internet address of the visitor) for security and to keep the site working. If you agree, we also use Google Analytics to measure visits (see Cookies below). We do not use advertising cookies, and we do not sell data to anyone.
3. Why we use your data, and our legal basis

We will only send you marketing emails about our services if you asked for a report, created an account, or otherwise asked to hear from us. Every marketing email includes a way to opt out.
4. Who we share data with
We never sell your data. We share it only with the companies that run this website for us:
- Our hosting and database provider, which stores the site and its data
- Our email delivery provider, which sends confirmation emails, audit alerts and reports
If you go on to become a print or mailing customer, we will share only what is needed to produce and post your mail (for example, the mailing data and carriers involved) — and we will tell you before we do. We may also disclose data if the law requires it.
5. Where your data is kept, and for how long

Data is stored within the United Kingdom or the European Economic Area. If a supplier ever moves it outside, we will make sure it stays protected to UK GDPR standards and update this notice.
6. How we protect your data
Access to your data is limited to the people who need it. Traffic to the site is encrypted, passwords are stored only as encrypted codes, artwork you upload is kept in private storage that only you and our team can reach, and our internal tools sit behind individual logins.
7. Your rights
You have the right to:
- Ask for a copy of the personal data we hold about you
- Ask us to correct anything that is wrong
- Ask us to delete your data (erasure)
- Ask us to restrict or pause how we use it
- Ask us to send your data to you, or to another company, in a portable format
- Object to our use of your data, including for marketing — at any time
- Withdraw consent where consent is our legal basis, without affecting anything already done
Email privacy@mailingcost.com to use any of these rights. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113 — but please tell us first so we can try to put things right.
8. Cookies
We use strictly necessary cookies that keep you logged in and keep the site secure. These are always on because the site cannot work without them.
With your permission, we also use Google Analytics cookies to count visits and see which pages are useful and how people find us (for example from a search engine or LinkedIn). This tells us about visits in general, not who you are. Google Analytics is provided by Google, which processes this data on our behalf, and the cookies last up to two years. We only set them if you click "Accept" on our cookie banner. You can change your mind at any time using the "Cookie settings" link at the bottom of any page. We do not use advertising or social-media tracking cookies.
9. Changes to this notice
We will update this page if our practices change, and change the "last updated" date above. If a change significantly affects how we use your data, we will tell account holders by email.
